CareClock AFH is a caregiver time-tracking service operated by Mass Dynamics Systems. This Privacy Policy explains what information the CareClock AFH application collects, why we collect it, how it is protected, and the rights available to the people who use it. It applies to the CareClock AFH web application and to careclock-afh.com.

1. Who we are

CareClock AFH is provided by Mass Dynamics Systems, 9612 19th Ave, Tacoma, WA.Confirm: registered legal entity name (for example, an LLC name) and the ZIP code for the mailing addressYou can reach us through the details on our Contact page.

2. Information we collect

  • Account and identity information: your name, email address, phone number (if provided), your role in the organization, and which Adult Family Home you are assigned to. Accounts are created by an organization administrator or through self-registration.
  • Sign-in information: if you sign in with Google, Google shares your name, email address and basic profile information with us so we can create and secure your account. We do not receive your Google password and we do not access your Gmail, Drive, Calendar or other Google content.
  • Time and attendance records: clock-in and clock-out timestamps, shift type, total hours worked, the home assigned to the shift, manual corrections made by an administrator, and PIN-based app unlock activity.
  • Location information: the GPS coordinates of your device at the moment you clock in and clock out, used to confirm that the clock event happened at the assigned home. CareClock AFH does not continuously track your location and does not collect location data while you are not clocking in or out.
  • Billing information: if your organization purchases a subscription or makes a payment, the payment is processed by our payment provider. We receive confirmation of the payment and limited billing details; we do not store full payment card numbers.
  • Technical information: device and browser type, IP address, and application logs used to keep the service secure and working correctly.

3. How we use information

  • To record caregiver attendance and calculate hours worked, including regular and overtime hours.
  • To verify that clock events occurred at the assigned Adult Family Home.
  • To provide administrators with attendance history, live shift status, summaries and exports for payroll and bookkeeping.
  • To authenticate users, protect accounts, and prevent clocking in on behalf of another person.
  • To provide customer support and to send service messages such as shift reminders by email.
  • To meet legal obligations and enforce our Terms of Service.

4. Location data

Clock-in and clock-out require access to your device location. Location is captured only at the moment of a clock event, compared against the geofence configured for the assigned home, and stored with that time record. If location permission is denied, the app cannot verify the clock event and you may not be able to clock in or out.

5. How information is shared

We do not sell personal information. We share it only with service providers that help us run CareClock AFH, and only as needed to provide the service:

  • Application hosting, database and authentication services used to run the app.
  • Google, when you choose to sign in with your Google account.
  • Our payment provider, for processing subscription and one-time payments on behalf of your organization.
  • Email delivery services, used to send account and shift reminder messages. SMS text reminders are not offered at this time.
  • Automated review of time records, used to flag attendance patterns that may need an administrator’s attention.

Information is also shared within your organization: administrators of your organization can see your profile, assignments and attendance records. We may disclose information if required by law or to protect the rights and safety of users and the public.Confirm: whether automated review of time records is enabled for customers

6. Data security

Data is transmitted over encrypted connections and stored in access-controlled systems. Access inside the app is limited by role, so caregivers see their own records while administrators see their organization’s records. App access is protected by a 4-digit PIN stored in hashed form, in addition to your account login.

7. Data retention

Time and attendance records are kept for 3 years. If your organization closes its account, records are deleted or anonymized once that period ends, unless a longer period is required for legal, payroll or tax reasons.

8. Your rights and choices

  • You can review your own clock-in and clock-out history from the caregiver dashboard and ask an administrator to correct any record that is wrong.
  • You can request access to, correction of, or deletion of your personal information, and can ask us to stop using your information for a specific purpose.
  • If your account was created by an employer or AFH operator, the organization controls the attendance data and we may need to refer your request to them.
  • You can turn off location permission in your device settings, though clocking in and out requires it.

9. Children’s privacy

CareClock AFH is a workforce application for adult employees and administrators. It is not intended for use by children, and we do not knowingly collect information from children.

10. Changes to this policy

We may update this Privacy Policy as the service evolves. The date at the top of this page shows when it was last revised, and material changes will be communicated to organization administrators.
